How to plan a workshop or company event in Cebu City: a checklist

Headcount, hours, kit and food. Everything to sort out before you book a venue for your next workshop, training or team event.

Whether it's a team training, a product launch, a community talk or the year-end party, most event headaches come from the same few gaps: a room that's too small, hours that run short, or a projector nobody tested. Work through this list before you book a venue in Cebu City and the day itself gets much easier.

1. Pin down your headcount

Start with the number of people you expect, then add your team, speakers and suppliers. The room should fit everyone comfortably, with space to move between sessions. At Nest the rooms scale with the group:

  • Up to 6: the small meeting room, ₱400 an hour.
  • Up to 12: the large meeting room, ₱900 an hour.
  • 25 to 30: Studio 3, from ₱2,000 for 2 hours.
  • Up to 60: Studio 1, from ₱9,000 for 4 hours.
  • 60 to 100: the Entire Studio, from ₱14,000 for 4 hours.

For talks and screenings, the tiered amphitheater in the coworking space starts at ₱2,000.

2. Decide the format

A workshop needs tables and a screen everyone can see. A talk needs rows of chairs and a mic. A party needs open floor and a speaker. Tell the venue the format so the room is set up before you arrive.

3. Book more hours than the program

Ingress, registration, a late start and pack-down eat into your time. Add at least 30 minutes before and after. The Entire Studio comes in 4, 8 and 12-hour blocks (₱14,000, ₱27,000 and ₱39,000), with extra hours at ₱3,500.

4. Check what equipment comes with the room

Ask for the list in writing. Studio and Entire Studio bookings at Nest include foldable tables and chairs, a projector, a rolling smart TV, 2 Bluetooth mics, a Bluetooth speaker and the dressing room. Meeting rooms have a smart TV with HDMI and a whiteboard. Test your laptop's connection before guests arrive.

5. Sort out food and drinks

Corkage fees can quietly double a catering bill. At Nest you can bring your own food and drinks with no corkage. Please clean as you go.

6. Make it easy to get there

Send guests the address, the parking situation and the floor. Nest is at B1, Horizons 101 Condominiums on Gen. Maxilom Ave, with free parking for guests. You can share the visit page for directions.

7. Confirm payment and the final quote

Get the total, including extra hours, before the day. We take cash, GCash, credit and debit cards, and bank transfer.
